This is just a reminder of the information that should be on the “Talent” tab for anyone who is an approved driver. Driver information will be audited during our annual insurance renewal. There are quite a few drivers who do not have DTR (Drug Test Renewal) as a “tile” within their Talent tab. The DOT requires that all drivers go for a drug test each year. To ensure this requirement is followed, each driver’s “Talent” tab needs to be assigned the DTR tile. The expiration date is the only information needed and for all drivers in GA, the expiration date is one year from the last drug test.
Please note, as HR audits drivers, the DTR will be added to any not currently assigned. However, your help will be needed to ensure all drivers “Talent” tab has all required information.
- DOT Card – indicate the expiration date (ex. DOT Card- expires XX/XX/XXXX)
- Driver’s License – expiration date entered in the “expiration” box. Save as DL.
- DTR (Drug Test Renewal) – expiration date entered in the “expiration” box. see below for how to name the results
- MVR- when saving the MVR, enter the date it was pulled (ex. MVR – XX/XX/XXXX)
When saving the drug test results, indicate the reason and date. For example, if the drug test is for a 2024 DOT renewal and the results are negative, please save as DT- DOT Renewal 2024- Neg. If the drug test if for a new DOT card, save as DT-DOT-2024. This will help with audits.
Note: The drug test renewal is one year for GA and two years for all other states.
- DOT items should be saved in the folders listed below:
- DOT Card – License/Certification
- Driver’s License – License/Certification
- DTR (Drug Test Renewal) – Drug Test Medical
- MVR- License/Certification
- ePassport- Drug Test Medical (please add this to your list as I left it off on the initial reminder email.)
- Safe Drive Check Ride - License/Certification folder and in the DL “Tile”, please answer the question, “Can Operate Company Vehicle”. This question will be available on all of the “tiles” however, please only indicate Yes or No on the DL tile. Because we are required to provide a list of drivers for our insurance renewal. On the report used for this, all of the tiles show up on the report. In order to provide accurate information, we need only the DL Tile to capture if they are an approved driver.
